Last updated: June 2025. This policy describes how Sawftware LLC ("we", "us") collects, uses, and protects information when you use DocImprint (docimprint.com).
1. Information We Collect
- Account & contact data — email address provided at sign-up or checkout.
- Payment data — billing details processed by Stripe. We do not store card numbers.
- Usage data — API call logs, request metadata, and error traces for service operation and abuse prevention.
- Uploaded documents and URLs — files or URLs you submit for extraction may contain personal or confidential information (PII). Content is processed to fulfill your request and is not used to train models. Retention follows section 4 unless you use document memory or evidence bundle features.
- On-chain data — if you use notarization, a hash of your document is published to the Base blockchain. Blockchain records are permanent and public.
2. How We Use Your Information
- To provide, operate, and improve the DocImprint service.
- To process payments and manage API key subscriptions.
- To detect and prevent abuse, fraud, and policy violations.
- To communicate with you about your account, service updates, or support requests.
We do not sell your personal data to third parties.
3. Third-Party Processors
- Stripe — payment processing. Subject to Stripe's privacy policy.
- Cloudflare — infrastructure, CDN, and Workers runtime. Subject to Cloudflare's privacy policy.
- AI model providers — document content may be processed by third-party AI inference providers as part of the extraction pipeline.
- Base (blockchain) — notarization hashes are published to the Base network, a public Ethereum L2.
4. Data Retention
API logs are retained for up to 90 days. Uploaded document content is not stored beyond processing unless explicitly saved via document memory features. You may request deletion of your account and associated data at any time.
5. Your Rights
Depending on your jurisdiction, you may have the right to:
- Access the personal data we hold about you.
- Request correction or deletion of your data.
- Object to or restrict processing.
- Data portability (receive your data in a machine-readable format).
- Opt out of sale of personal information (we do not sell data).
To exercise any of these rights, contact us at legal@docimprint.com.
6. Cookies
We use only essential cookies required for session management and payment flows. We do not use tracking or advertising cookies.
7. Security
We use industry-standard security practices including TLS in transit and access controls at rest. No method of transmission over the internet is 100% secure.
8. Children
DocImprint is not directed at children under 13. We do not knowingly collect personal data from children.
9. Changes to This Policy
We may update this policy from time to time. Material changes will be communicated via the website or email. Continued use after changes constitutes acceptance.
